Start with a representative job
A machine enquiry does not need a long specification to begin. One typical job, one difficult job and your installation country can provide a useful starting point. If you do not know a parameter, describe the application and ask for help defining it.
The aim is to make quotations comparable. A headline machine price tells you little if one offer includes finishing, tooling and training while another includes only the printing units.
Describe the material and print layout
Name the unit with every measurement. For a label stock, specifying only the face-stock thickness may leave out the liner and adhesive that also affect web handling.
- Material construction: paper or film face stock, adhesive, liner and thickness where known.
- Material roll width, roll diameter and core information.
- Finished label size, repeat length, number of labels across and layout drawing.
- Printing colors, white or coating requirements, and an artwork example.
Explain the order mix, not just the maximum speed
State typical order length in meters, feet or number of labels, along with the range of repeat lengths and how often the artwork changes. Describe the number of different jobs you normally plan in a shift.
If you have an output target, state how it is measured: finished labels per shift, net material length or running speed. Ask which setup, curing and finishing assumptions are included. A maximum mechanical speed is not a production plan.
Make the configuration explicit
Ask for an itemized list of included equipment and optional items. A photograph can show an available configuration without proving that every pictured module is included in your offer.
- Required printing units and the curing package for the selected inks and material.
- Register control: what is included and which automatic functions are optional.
- Cold foil, die cutting, lamination, adhesive-side printing or other required processes.
- Included plates, cylinders, anilox rollers, tooling, mounting equipment and initial spare parts.
Confirm delivery and support responsibilities
Provide the installation country and city. Ask for packing, freight and delivery terms to be stated separately, together with unloading responsibilities and the site utilities required by the agreed layout.
Confirm installation, commissioning, operator training, support channels, warranty scope and spare-parts arrangements. Any on-site work, travel costs and timing should be written into the project scope rather than assumed from a general website statement.
A short message you can start with
We print [material] labels with a [width] web and [repeat] layout, using [colors]. Typical orders are [length or label quantity]. We need [finishing processes], and the machine will be installed in [country/city]. Please recommend a configuration and itemize the included equipment, tooling, installation and training.
